What Workspace is, and what it is not

A free Gmail address and Google Drive account is a personal Google account. Workspace is the business version: staff get addresses on your own domain, an admin manages the accounts, and storage and meeting limits are set by the plan. The apps look the same. The admin controls, storage and AI access differ.

This page covers Workspace business plans. Google Workspace for Education is a separate offering that this page does not cover.

Plans and prices

Google’s pricing page, read with the Philippines selected, listed the plans below. Peso figures are conversions at USD 1 = PHP 62.821, and are approximate because the page itself shows dollars only.

Notes from the page:

  • Starter, Standard and Plus are capped at 300 users. Enterprise has no user limit.
  • The page shows an introductory 10 percent discount on Starter and Standard for the first 20 users, for 12 months, with dates in the page’s own terms. Read the conditions before relying on it.
  • The page showed one set of prices and no separate flexible (monthly, no-commitment) prices, so check the checkout page for the plan you want.
  • Whether Google adds Philippine tax at checkout is not stated on the page.

Which plan suits which business

The page supports a few plain pairings. It does not rank plans.

  • Email and basic files for a small team. Starter lists Gemini in Gmail and chat with Gemini, with 30 GB per person.
  • Teams that write and meet a lot. Standard lists Gemini in Docs and Meet, a 2 TB pool and 150-person meetings.
  • Larger meetings or more storage. Plus lists 500 participants and a 5 TB pool.
  • Over 300 staff, or custom controls. Enterprise is quote-based and has no seat cap.

Built-in automation

Workspace includes several ways to automate work without extra software.

Apps Script. Google describes Apps Script as a “rapid application development platform” for business applications that integrate with Workspace. It uses JavaScript, runs on Google’s servers and is edited in a browser. It can work with Gmail, Calendar, Drive and other Google products, add custom menus to Docs, Sheets and Forms, and create custom Sheets functions. The page read for this guide does not say whether it is included in every plan, so check your plan’s terms.

Gemini. Google’s Workspace AI page says Gemini can summarise Gmail threads, draft emails, build spreadsheets and take notes in Meet. It also lists Studio, with which a person can “build flows in minutes” to streamline meeting prep or organise email, and says Standard includes it. See Gemini for business in the Philippines for the AI side.

Outside tools. A tool such as Zapier or n8n can connect a Workspace app to other systems. Look the app up in the tool’s directory before planning around it. The workflow automation guide explains how to pick the first process to automate.

Data and privacy

Google states on its Workspace AI page: “Your data is your data, and it’s not used to train Gemini models or for ads targeting.” It adds that Gemini “only retrieves relevant content in Workspace that the user has access to” and lists data loss prevention, information rights management and client-side encryption controls for sensitive data.

Under the Data Privacy Act (Republic Act No. 10173), a business that holds customer personal information stays responsible for it, including when another party processes it (Section 21). Read Google’s data processing terms for your plan, set sharing defaults in the admin console, and ask your data protection officer how the Act applies to you. This is not legal advice.
