What payroll software in the Philippines must handle

A Philippine payroll tool computes pay and deductions for each employee and produces payslips and reports. Sprout’s guide says a modern HR system should give “built-in calculations for statutory requirements and automated reporting for agencies like the BIR, SSS, PhilHealth, and Pag-IBIG,” and warns that “mistakes or delays can lead to real fines and interest.” KAMI says SSS, PhilHealth, Pag-IBIG and BIR “are computed automatically” and updated when rates change.

Rates and tables change, so this page quotes none. Ask each vendor how and when it updates them, and read the agencies’ current tables yourself.

Pricing models you will meet

Sprout’s guide names three models:

  • Per employee, per month. A set fee for each active employee. Add-on modules can raise the rate.
  • Tiered or packaged. Fixed packages for headcount ranges. You may pay for features you do not use.
  • Custom or modular. A quote built from your configuration. Pricing is not clear until you ask.

The tools below show all three.

Worked examples from the published figures

These are arithmetic on the vendors’ numbers, for a business with 20 employees. They exclude tax, setup and any add-ons not named.

  • KAMI Lite: PHP 2,500 + (20 x PHP 120) = PHP 4,900 a month. Plus: PHP 3,500 + (20 x PHP 180) = PHP 7,100. Super: PHP 5,500 + (20 x PHP 280) = PHP 11,100.
  • PayrollHero with payroll: (US$3.50 + US$3.00) x 20 = US$130 a month, about PHP 8,167. Adding leave management at US$2.00 makes it US$170, about PHP 10,680.

Whether the plans differ in features beyond what the pages list is a question for the vendor.

The tools one by one

Sprout Solutions

Sprout’s site lists core HR and payroll (an AI-powered HRIS, a payroll management system, managed payroll services), talent tools such as applicant tracking and performance management, and operations tools including time and attendance. Its homepage does not publish prices and offers meeting bookings.

KAMI Workforce

KAMI’s payroll page publishes pesos and ties attendance (clock-ins, overtime, leaves, late deductions) to payroll. It states “DOLE-compliant from day one” and mentions 13th month pay. That is the vendor’s claim, so ask for a sample payroll run.

PayrollHero

PayrollHero publishes a per-employee base for HR and timekeeping, with payroll and leave as separate add-ons. The page lists no minimum employee count or minimum spend. Confirm in writing whether one applies.

GreatDay HR

GreatDay HR lists the Philippines among five compliant markets on its payslip page. Its packages page describes modules in tiers, and prices were not found in the pages read.

Zoho Payroll

Zoho’s payroll page lists four regions: GCC, Canada, India and the USA. The Philippines is not listed, so Zoho Payroll is not a local payroll option on that evidence.

Questions to put to every vendor

  1. What is the price for our headcount, including every module, setup fee and minimum?
  2. In which currency are we billed, and who bears the exchange-rate change?
  3. How are SSS, PhilHealth, Pag-IBIG and BIR tables updated, and who is notified?
  4. Can you run a sample payroll from our real pay structure?
  5. How do we export all our data if we leave?
  6. Where is employee data stored, and who can see it?

Employee data and the Data Privacy Act

Payroll holds names, pay, government ID numbers and bank details for every employee. The Data Privacy Act (Republic Act No. 10173) asks a business for reasonable and appropriate security measures (Section 20) and keeps it accountable for data a vendor processes for it, with contracts or other reasonable means to ensure comparable protection (Section 21). Put those points in the vendor contract and limit who in your business can view pay. This is not legal advice.

HR and payroll in an automation plan

Attendance, leave requests and payslip delivery are repeated tasks that these tools already automate to some degree. A workflow tool such as n8n can pass new-hire details from a form into other systems. Check each product’s app list or API terms first. The workflow automation guide explains how to choose a first process, and the BPO sector page covers an industry with large payrolls.

Frequently asked questions

How much is payroll software in the Philippines?

It depends on the vendor. KAMI Workforce lists PHP 2,500 a month plus PHP 120 per person on its Lite plan, billed annually. PayrollHero lists US$3.50 per employee a month plus US$3.00 for payroll. Sprout quotes by request.

What is the difference between HRIS and payroll?

An HRIS keeps employee records, attendance and leave. Payroll turns those records into pay, deductions and payslips. Vendors sell them together or as modules.

Does Sprout publish its prices?

Sprout’s own guide says its HR software pricing is quote-based, and its homepage lists no prices.

Can payroll software file SSS, PhilHealth and Pag-IBIG contributions?

KAMI says it computes SSS, PhilHealth, Pag-IBIG and BIR items automatically. Sprout lists statutory filings and remittances under managed payroll. Ask each vendor which filing steps it performs for you and which you do yourself.

Is Zoho Payroll available for the Philippines?

Zoho’s payroll page lists GCC, Canada, India and the USA. The Philippines is not listed.
