RPA and AI automation: what each means and how they differ
Short answer
RPA, or robotic process automation, is software that operates other programs through their screens, copying the clicks and keystrokes of a person to complete a routine task by fixed rules. AI automation uses an AI model to handle input that has no fixed format, such as free text or scanned documents. RPA suits older systems with no connection point. The two are often combined.

What RPA stands for and how it works
RPA stands for robotic process automation. The “robot” is not a machine. It is a program, often called a software robot or bot, that uses a computer the way a person does.
Microsoft’s documentation shows the idea. Power Automate desktop flows “automate all repetitive desktop processes,” and can automate legacy applications such as terminal emulators as well as modern web and desktop applications and Excel files. They interact with the machine “by using application UI elements, images, or coordinates” (Microsoft Learn, Introduction to desktop flows, page updated 24 August 2026). Automation Anywhere describes RPA as “software that automates digital tasks” (Automation Anywhere).
Screen and rule-based steps
An RPA robot is recorded or programmed to do the same steps each time: open a file, read a cell, click a field, type a value, save. It follows rules, so it does the task the same way on every run. Because it works through the screen, a change to the screen layout can break it. That is the usual reason people maintain RPA flows over time.
Attended and unattended
UiPath’s documentation separates two modes. Attended automations “run under human supervision” and suit smaller, more fragmented tasks. Unattended automations are intended for more complex and highly repetitive tasks and suit processes that run without a person at the keyboard (UiPath, Attended vs. Unattended automation). In a back office, an attended robot helps a staff member with a step on their own computer, while an unattended robot works through a batch on a separate machine.
Where RPA sits in the standards
The IEEE standard 2755, a guide to terms and concepts in intelligent process automation, was completed in 2017. An IEEE article describes software-based intelligent process automation as “a whole family of intelligent automation, including robotic process automation (RPA),” a family that also covers AI and machine learning (IEEE Standards Association, 4 January 2021). The standard itself is paid, and this page does not quote it. The point to take: RPA is one member of a larger family and not the same thing as AI.
RPA and AI automation compared
| RPA | AI automation | |
|---|---|---|
| Input it handles | Structured, predictable data in fixed places | Structured and unstructured input: free text, images, scanned documents |
| How it connects | Through the screen of the other program | Usually through an API or a direct integration |
| Decisions | Fixed rules written in advance | A model reads and classifies inside limits that rules set |
| Tolerance for change | Low: a screen or layout change can break it | Higher for wording changes; lower tolerance for wrong answers |
| Setup | Record or script each step | Build a workflow, add a model step, supply approved information |
| Typical users | Finance, HR and operations teams with older software | Teams handling messages, documents and varied requests |
| Cost model | Usually licences for robots and for the tool | Tool subscription plus charges for model use |
| Main risk | Breaks silently when screens change | Plausible but wrong output |

Where they combine
The two work well together. An AI model reads or decides, and RPA clicks and enters.
- A supplier invoice arrives as a PDF. A model extracts supplier, date and total. An RPA robot types those values into an older accounting program that has no API.
- A customer email arrives in free text. A model classifies it as a refund request. An RPA robot opens the legacy order system and looks up the record.
IEEE’s description of intelligent process automation places both in one family, and vendors have moved the same way. SS&C Blue Prism now says its technology has moved beyond robotic process automation and digital workers toward “agentic automation” (Blue Prism). The AI agents explainer covers that newer idea.
RPA tools in brief
One line each, taken from the vendors’ own pages. This page has not tested any of them.
- UiPath. An RPA and automation platform with attended and unattended robots, as described in its documentation.
- Power Automate Desktop. Microsoft’s desktop flows, which work with legacy and modern applications and Excel files.
- Automation Anywhere. A vendor that describes RPA as software that automates digital tasks.
- Blue Prism. Now SS&C Blue Prism, which markets agentic automation alongside its earlier digital workers.
RPA in the Philippines
Shared services and BPO use
The Philippine IT and business process management industry is where much back-office automation work happens. IBPAP reports 2025 export revenue of US$40.3 billion, and the AI in the Philippines report lists that figure with its source. That report also notes that IBPAP’s overview does not publish how much AI or automation is used inside member companies, so this page does not estimate it.
Published local examples
- Home Credit Philippines says it launched a project to use Python-based RPA, with Tech Mahindra as primary implementation partner, starting in the purchasing department. The company says processing purchase requisitions and creating orders were once handled manually and now run automatically, and it states the aim of freeing employees’ time from routine tasks. It gives no figures. The page shows “Last Updated August 14, 2026” and no original publication date (Home Credit Philippines).
- PLDT reported expanding its use of UiPath across three internal AI systems, according to a UiPath announcement dated 10 September 2026. These are AI systems built on an automation platform and not RPA robots alone. The figures are company estimates, with no independent audit (TechNode Global, 10 September 2026).
Older Philippine coverage of RPA exists, but this page cites only dated company statements.
Which to consider for which task
- The target software has an API. Use ordinary automation and connect directly. Reserve RPA for steps that cannot be reached any other way.
- The target software is older and has no API. RPA is the likely fit. Add a model step if the input is a document or free text.
- The input is free text or a scanned document. An AI automation step suits it, with a review step for low-confidence results.
- The task is a few steps done by one person. An attended robot or a simple macro may be enough.
- The screens change often. Weigh the maintenance before choosing RPA.
As an illustration, consider a small accounting office that receives supplier invoices by email and keys them into an older desktop program. A model step can read each invoice and extract the figures, an RPA robot can enter them, and a staff member checks any invoice the model marked as uncertain. If the accounting program later gains an API, the RPA step can be replaced by a direct connection.
For a small business, the workflow automation guide covers the usual starting points. The AI automation explainer and the pillar guide cover the wider picture.
Frequently asked questions
What does RPA stand for?
Robotic process automation. The robot is a software program that operates other programs the way a person does, by clicking and typing.
Is RPA the same as AI?
No. RPA follows fixed rules and needs no AI model. IEEE places RPA inside a wider family of intelligent process automation that also includes AI and machine learning.
Which is better for a small business, RPA or AI automation?
It depends on the task. Where software has an API and input is structured, ordinary automation does the work. RPA fits older programs with no connection point. AI automation fits messages and documents with no fixed format.
Which RPA tools are common?
UiPath, Microsoft Power Automate (desktop flows), Automation Anywhere and SS&C Blue Prism are widely used. This page names them from vendor pages and has not tested them.
What is an RPA bot?
An RPA bot is a software robot that carries out recorded or scripted steps on a computer, such as opening a file and entering values into a form.
