Online appointment systems: options for Philippine clinics, salons and offices
Short answer
An online appointment system lets clients pick a free time slot and puts the booking in your calendar. Five options with published prices are covered here. Google Calendar appointment schedules, Calendly, Cal.com and Setmore have free plans, and SimplyBook.me has a free plan with 50 bookings. Paid plans run from about $5 to $28 per user a month. Clinics should check the Data Privacy Act first, because health data is sensitive personal information.

Options and prices in pesos
Prices are as each vendor publishes them on 12 Oct 2026. Peso figures are conversions and exclude taxes and card fees. Billing terms differ, so each row says what the page showed.
| Option | Free plan | Paid plan as published | Approx. pesos | Notes from the vendor page |
|---|---|---|---|---|
| Google Calendar appointment schedules | Yes, with a personal Google account or Workspace account | Some features need an eligible Workspace or Google One subscription | Not published here | Created on a computer, not in the mobile app |

Google Calendar appointment schedules
Google’s help page says you need “A personal Google Account or Workspace account” and a computer, and that you “can’t create an appointment schedule in the Calendar app for Android or iPhone and iPad”. The setup covers duration, availability, a scheduling window with a default minimum lead time of 4 hours, buffer time, a daily maximum and co-hosts. Some features need an eligible Workspace or Google One subscription, which the page links to a comparison.
Calendly
Calendly’s free plan lists one event type, one calendar connection and one-on-one scheduling. The Standard plan lists unlimited event types, multiple calendars, automations and reminders, and Stripe and PayPal payments. Teams adds round-robin and team scheduling. Seats are for people who host meetings, and “meeting invitees do not require a seat”. The Enterprise plan starts at $15k a year and is “Available in USD only”.
Cal.com
Cal.com’s free plan lists one user, unlimited event types and calendars, email and SMS notifications, and Stripe and PayPal payments. Teams adds round-robin scheduling, routing forms and booking analytics. Organizations lists “SOC 2, HIPAA, ISO 27001 compliant”. HIPAA is a United States health privacy law. It does not replace what Philippine law asks of you.
Setmore
Setmore’s free plan lists up to 4 users, unlimited appointments, payments, email reminders and a branded booking page. Pro at $5 per user a month adds SMS reminders, recurring appointments, two-way calendar sync and removal of Setmore branding. The page notes that “SMS reminder availability varies by country per our Fair use Policy”, and it was not checked for the Philippines.
SimplyBook.me
SimplyBook.me counts bookings. The free plan includes 50 bookings and one provider, with a booking website, a widget and an admin app. Payments, deposits and tips start at Basic. HIPAA and SAML SSO are listed from Standard. Its page lists SMS packages of 100 credits for $8 (about PHP 503) and WhatsApp credits of 100 for $8, separate from the plan price.
Reminders by SMS, Messenger and email
Reminders reduce no-shows, but each channel has its own cost and rules.
- Email. Listed on the free plans of Setmore and Cal.com. It carries the lowest cost.
- SMS. Setmore lists SMS from Pro with country limits. Cal.com lists SMS notifications on its free plan. SimplyBook.me sells SMS credits. None of the pages read states Philippine coverage or Philippine sender rules, so test a message to a Philippine number on a trial before you commit. Check SMS sender rules with the SMS provider.
- Messenger. A bot can remind clients inside a chat they already use. See the Messenger bots guide.
- WhatsApp. SimplyBook.me sells WhatsApp credits. Check WhatsApp’s own business rules before you use it.
Data privacy for client and patient information
A booking holds a name, a phone number and a time. For a clinic, it also shows a visit. The Data Privacy Act of 2012 lists “health” information among sensitive personal information in Section 3(l). Section 13 says processing sensitive personal information is “prohibited” by default, with listed exceptions such as consent specific to the purpose. The act applies to the business, not only the software.
Points to check with each vendor:
- Where bookings are stored, and who can read them.
- What the booking page tells the client about how the data is used. The National Privacy Commission’s Advisory No. 2024-04 asks controllers using AI features to “inform their data subjects of the nature, purpose, and extent” of processing.
- Whether a contract with the vendor covers personal data. The act keeps the business accountable for data given to a processor.
- What you put in the booking form. Ask only for what the visit needs. Leave symptoms and diagnoses out of free-text fields.
This guide does not advise on privacy compliance. Read the healthcare sector report for context, and ask a qualified adviser, preferably one who knows health records, before you set up a clinic booking page.
