What is automated data processing?

ADP is also the name of a payroll and HR company. This page covers the concept, not the company. ADP’s own site describes it as a provider of cloud-based software for HR, payroll, talent, time, tax and benefits.

What it is

Data processing, in the opening line of the Wikipedia article, is “the collection and manipulation of digital data to produce meaningful information.” The word “automated” says that software, and not a person, carries out the steps. Early forms used punched-card machines; the Wikipedia article on data processing notes that the term automatic data processing was applied to operations performed with unit record equipment, and that computers replaced several separate machines later.

Today the same idea runs in spreadsheets, accounting software, forms and workflow tools. A person sets the rules once. The software applies them to each record.

The four stages

Most automated data processing follows four stages. This is a working model for planning, not a formal standard.

StageWhat happensExample
CaptureData enters the system from a form, file, email or deviceA customer fills in an online booking form
ValidationThe software checks that fields are complete and sensibleA phone number has the right number of digits
ProcessingRules sort, calculate, combine or classify the dataInvoice lines are totalled and tagged by supplier
OutputThe result is stored, reported or sent onA row is added to a sheet and an alert goes to staff

Swipe the table sideways to see all columns.

The reference article lists related functions: validation (“ensuring that supplied data is correct and relevant”), sorting, summarisation, aggregation, analysis, reporting and classification. Any of them can be a step in a workflow.

Business examples

These are illustrations of the pattern, not data about any company.

  • Invoices. Supplier invoices arrive by email. The system reads the supplier, date and total, checks them against a purchase record and writes them to the accounting file.
  • Forms. A web form sends each submission to a sheet, flags missing fields and notifies the right person. People often search for this as an “automated data entry form in Google Sheets”.
  • Payroll runs. Hours worked are totalled, deductions are applied by rule and a payslip file is produced for review before it is released.
  • Reports. A scheduled job collects yesterday’s sales rows and sends a summary.

How AI changes data capture

Rule-based capture works when the input has a fixed layout. A scanned invoice or a photographed receipt has none. Microsoft’s documentation describes Azure Document Intelligence as “a machine-learning based OCR and intelligent document processing service to automate extraction of key data from forms and documents.” OCR means optical character recognition, which turns an image of text into text. A model like this reads the document, and later steps in the workflow validate and file the result.

AI extraction can be wrong, so keep a validation step and have a person check uncertain results. This is human-in-the-loop practice. Related search phrases such as automated data capture, automated data extraction and automated data collection describe the capture stage. “Automated data processing software” describes the tools that run all four stages, such as a workflow platform, an accounting system or a form tool.

Why it matters for Philippine businesses

Many small businesses still key data by hand from chats, forms and paper. Writing the steps as a workflow shows which ones software can do. Customer records contain personal data, so the Data Privacy Act of 2012 (Republic Act No. 10173) applies to how they are collected and stored. The AI automation guide lists the checks, and the small business workflow guide shows where to start. What AI automation is explains how AI extends the same stages.

Frequently asked questions

What is automated data processing?

The use of software to collect, check, process and output data with little manual handling, so each record moves through fixed steps to a result.

What are examples of automated data processing?

Reading invoices into accounting software, sending form entries to a sheet with alerts, totalling hours for a payroll run, and emailing a daily sales summary.

Is automated data processing the same as ADP?

ADP is also a company name. ADP’s site describes it as a provider of cloud-based HR and payroll software. This page covers the concept.

How does AI change it?

AI can read documents with no fixed layout, such as scans and photos, and extract fields. A validation step and a person should still check uncertain results.
